  • “Hire” means a rental arrangement whereby Equipment is made available to you for a specified period in exchange for a hire charge.
  • “Hire Period” means the period during which you are entitled to use the hired Equipment, as confirmed in your order.
  • “Sale” means a transaction in which ownership of Equipment is transferred to you.

4.3 Pricing

All prices displayed on our website are in pounds sterling (GBP) and, unless otherwise stated, are inclusive of VAT where applicable. We reserve the right to amend prices at any time without prior notice, but price changes will not affect orders that have already been confirmed.

4.4 Payment

Payment must be made in full at the time of ordering unless otherwise agreed in writing. We accept the payment methods listed on our website. We reserve the right to withhold Equipment until payment has been received and cleared.

5. Equipment Sales

5.1 Ownership

Ownership of Equipment purchased from us will transfer to you only upon receipt of full payment.

5.2 Condition of Equipment

Where Equipment is described as new, it will be supplied in new condition. Where Equipment is described as used or refurbished, its condition will be as stated in the product description. You are responsible for reviewing product descriptions carefully before placing an order.

5.3 Delivery

Delivery timescales are estimates only and are not guaranteed. We shall not be liable for any loss or damage arising from delays in delivery beyond our reasonable control. Risk in the Equipment passes to you upon delivery.

5.4 Returns and Cancellations — Consumer Customers

If you are a consumer (i.e. purchasing as a private individual and not in the course of business), you have the right to cancel your order within 14 days of receiving the Equipment under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, without giving a reason. To exercise this right, you must notify us in writing within this period. Equipment must be returned to us in its original condition. You will bear the cost of return postage unless the Equipment is faulty or incorrectly supplied.

5.5 Returns and Cancellations — Business Customers

If you are a business customer, you do not have statutory cancellation rights, and returns will only be accepted at our sole discretion.

5.6 Faulty Equipment

If any Equipment you have purchased is faulty or not as described, please contact us promptly. Your statutory rights as a consumer are not affected.

6. Equipment Hire

6.1 Hire Agreement

By confirming a hire order, you enter into a hire agreement with us on the terms set out here and in any accompanying hire documentation. Equipment remains our property at all times.

6.2 Hire Period

The Hire Period begins on the date the Equipment is made available or delivered to you and ends on the agreed return date. The Equipment must be returned by the end of the Hire Period. Failure to return Equipment on time may result in additional hire charges.

6.3 Your Responsibilities During Hire

During the Hire Period, you are responsible for:

  • Using the Equipment only for its intended purpose and in accordance with any operating instructions provided.
  • Keeping the Equipment safe and secure.
  • Not subletting, lending, or transferring the Equipment to any third party without our prior written consent.
  • Not making any modifications or alterations to the Equipment.
  • Returning the Equipment in the same condition as received, subject to fair wear and tear.

6.4 Damage, Loss, and Theft

You are liable for any loss, damage, or theft of Equipment during the Hire Period (beyond fair wear and tear). We may charge you for the cost of repair or, where the Equipment is beyond repair or is not returned, its full replacement value.

6.5 Early Return

If you return the Equipment before the end of the agreed Hire Period, you will not generally be entitled to a refund of unused hire charges unless we expressly agree otherwise in writing.

6.6 Extension of Hire Period

If you wish to extend the Hire Period, you must contact us in advance. Extensions are subject to availability and our agreement, and additional charges will apply.

6.7 Our Right to Recover Equipment

We reserve the right to recover Equipment at any time if we reasonably believe that:

  • The Equipment is being misused or placed at risk.
  • You are in breach of these Terms and Conditions.
  • Payment has not been made or is overdue.

7. Identification Requirements

7.1 ID Verification

For certain types of Equipment — including but not limited to items that are subject to legal restrictions or that carry a higher risk profile — we are required to verify your identity before completing a sale or hire. We will clearly indicate on the relevant product listing when ID verification is required.

7.2 Acceptable Documents

We accept the following forms of identification:

  • Valid UK or international passport
  • Valid UK driving licence (full or provisional)
  • National identity card

7.3 How to Submit Your ID

Where required, you will be prompted during the checkout process to upload a clear copy or photograph of your identification document via our secure website. Alternatively, we may contact you directly to request ID before your order is processed.

7.4 Processing of ID Documents

We process your identification documents in accordance with our Privacy Policy and applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Your ID will only be used for identity verification purposes and will not be shared with third parties except where required by law. If you fail to provide satisfactory identification within a reasonable period when requested, we reserve the right to cancel your order and issue a full refund of any payment received.

7.6 Fraudulent Documents

Providing false, altered, or fraudulent identification documents is a criminal offence. We reserve the right to report any suspected fraudulent documents to the relevant authorities and to cancel your order immediately.

8. Deposits and Security

8.1 Hire Deposits

We may require a deposit before releasing Equipment for hire. The deposit amount will be confirmed at the time of booking. The deposit will be returned to you at the end of the Hire Period, subject to inspection of the Equipment and deduction of any charges for damage, loss, or outstanding hire fees.

8.2 Refund of Deposit

We aim to return deposits within 5–10 working days of the Equipment being returned and inspected. We will notify you if any deductions are to be made.

9. Limitation of Liability

9.1 General

To the maximum extent permitted by law, our total liability to you in connection with any order or hire, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall not exceed the amount paid by you for the relevant Equipment.

9.2 Exclusions

We are not liable for:

  • Loss of profits, revenue, data, or business opportunity.
  • Indirect or consequential losses.
  • Losses arising from your misuse of Equipment.
  • Losses that were not foreseeable at the time the contract was formed.

9.3 Nothing in these Terms limits our liability for:

  • Death or personal injury caused by our negligence.
  • Fraud or fraudulent misrepresentation.
  • Any other liability that cannot be excluded or limited under English law.

10. Intellectual Property

All content on our website, including text, images, graphics, logos, and design, is owned by or licensed to Meredith Sales & Hire and is protected by intellectual property laws. You may not reproduce, distribute, or use any content from our website without our prior written permission.
